Brief Description of Duties



The incumbent functions as Academic Advisor in the Office of Academic Advising & Retention. The incumbent reports to the Director of Office Academic Advising & Retention and the Lead Academic Advisor. This position provides academic advising to new, continuing and returning students. Assist students in clarifying their educational and career goals and establishing a clear pathway to successfully complete the identified coursework or degree requirements. Implement a prescribed communication plan with assigned student caseload using various modalities such as but not limited to: meetings, phone calls, video platforms, e-mails and text messages. Create a student success plan for each student. Respond to the students or any reports or concerns or other sources regarding students within his/her caseload. Responsible for understanding and adhering to University policies and procedures that help facilitate student success.



 



Essential Duties and Responsibilities




  • Meets with students to provide information and guidance on academic-related issues, such as graduation requirements and exceptions, major exploration, course planning and registration, transfer credit evaluation/substitution or advanced degree requirements.

  • Manage students' academic progress by evaluating their needs and developing appropriate educational plans through degree audits. Makes referrals for students who need assistance with overcoming learning obstacles, specialized tutoring, extended or intensive assistance with career decisions or similar needs.

  • Coordinates and participates in new student and parent orientation sessions and the First Year Experience.

  • Maintain accurate and effective advising documentation and caseload management notes. (Calls made, emails sent, advising sessions completed, academic degree plans/audit, SAP Appeals)

  • Submit timely and accurate weekly activity reports.

  • Fosters collaborative relationships with staff and faculty to develop student-centered communication, polices, and procedures. Provide programming for students.

  • Adhere to a flexible schedule changes during peak periods such as but not limited to registration (add/drop) and orientation.


Other Duties

 

  • Teach Freshman Orientation Course (Incumbent must possess a master's degree and demonstrate instructional competency).

  • Attend/participate in meeting or on committees at the discretion of the Director and or Lead.

  • Performs other duties as assigned.


 

Minimum Job Requirements




  • Bachelor's degree required. A master's degree is strongly preferred.

  • The position requires two to three years of experience in advising; or any satisfactory combination of experience and training which demonstrates the knowledge, skills and abilities to perform the above duties.

  • Candidate must have strong interpersonal skills and excellent verbal and written communication skills. The incumbent must able to interact effectively with students of various ages, abilities and ethnic backgrounds.

  • The ability to communicate in a second language is preferred.





Required Competencies 




  • The ability to effectively work a student advising caseload by but not limited:



a. Making calls and sending text messages (twice a week)

b. Emailing (reminders) 2-3 times weekly,

c. Scheduling a minimum of 10 in-office and 5 external office visits a week

d. Conducting external advisement with students



  • The ability to effectively communicate with a diverse student population via various technological modalities

  • Incumbents must possess a working knowledge of Microsoft Office suite and other platforms such as, but not limited to Banner, Degree Works and other technology platforms.

  • Knowledge of University of the District of Columbia academic procedures is preferred.

  • The position requires the ability to deal with all developmental levels of students, as well as parents, using empathy and understanding, in a student and customer-centered environment.

  • Incumbents are expected to possess extensive knowledge about academic programs, policies and procedures, and student support services.

  • Must possess ability to handle multiple priorities, be personable & outgoing, self directed, mature, and able to work well with students, parents, faculty, and staff.

  • Must possess the ability to work as part of a team and deliver tasks on time.

  • Attend meetings relative to the School or College that the advisor is assigned

Collective Bargaining Unit (Union): This position is in the collective bargaining unit represented by AFSCME local 2087 and you may be required to pay an agency service fee through direct payroll deduction.

Residency Preference: A person applying for a position who is a bona fide District resident at the time of application for the position, may be awarded a 10-point residency preference over non-District applicants, unless the person declines the preference points. If selected, the person shall be required to present no less than 8 proofs of bona fide District residency on or before the effective date of the appointment and maintain such residency for 7 consecutive years from the effective date of the appointment. Failure to maintain bona fide District residency for the 7-year period will result in forfeiture of employment.
