SPESIFICATIONS The HIM manager administers and directs the activities of the HIM Department.

The HIM manager holds a management position.

The individual in this position understands and supports the goals of management and coordinates the activities of personnel in the department to achieve those goals.

This individual must be self-directing and willing to accept the responsibilities of administering the medical records and charting system in an orderly and systematic manner, ensuring the completeness of data upon which patient treatment is based and reflecting the actual treatment provided.

Departmental procedures must be consistent with Federal, State, Local Governmental, Administrative, Ethical and other legal regulations and requirements.

In accordance with those regulations, the H.I.M.

Manager, under the direction of the CFO, must provide systems for acquiring, analyzing, storing and retrieving information so that it can be readily available when needed.

Challenge: The major challenge of this position involves people and time management.

People skills can frequently be tested to the maximum when establishing and maintaining physician relationships.

Time management skills are essential for orderly and systematic completion of medical records within the time frames established by administration.

Contacts: The H.I.M.

Manager is in frequent contact with patients and their families, physicians and their offices, insurance carriers, legal firms, contracted consultants, other departments and the general public.

This individual should make every effort to project a professional, positive image.

Latitude: The duties and accountabilities of this position are clearly defined in this position description.

This individual has the authority to recommend hiring and termination, evaluate and discipline employees under his/her direction.

This person has the latitude to evaluate and recommend changes in procedures and implement those changes once approved by the CFO and Administrator.

Any concerns regarding the latitude of this position should be discussed with the CFO.

PERFORMANCE STANDARDS Effectively coordinates and supervises the procedures and practices of the H.I.M.

department to ensure that they conform with applicable regulatory, licensing, risk management and Administration standards Supervises and oversees the ICD-10-CM diagnostic and CPT procedural coding; all chart completion, analysis, indexing and abstracting Effectively coordinates activities of H.I.M.

with other departments such as Admitting, Patient Accounting, Performance Improvement/Utilization Review and Nursing to ensure an accurate, timely, efficient flow of information to and from those areas.

Coordinates the technical functions of the department to ensure the efficient flow of work, maximize productivity and ensure facility cash flow.

Participates in the design of medical record forms and reports.

Develops and maintains a positive working relationship with medical staff to ensure the generation of timely, accurate data to complete medical record.

Appropriately evaluates the organization, staffing needs and operation of H.I.M.

in relation to established standards and makes appropriate revisions as necessary.

Actively participates in the planning, development and coordination of systems for accessibility, retrieval and development of medical records to attain the institutional goals and meet the
