Responsibilities

1. Maintain documentation and communication. Manages job notes, opening jobs, closing jobs, project specs, change orders, estimates, approvals, and other communication as appropriate.

2. Ensure correspondence adheres to Callahan quality and graphic standards. Prepare, format, and duplicate proposals, correspondence, reports and presentations.

3. Collaborate with Project Management to develop and maintain job schedules.

4. Coordinate the routing of all proofs, comps, layouts, etc. to ensure applicable approval signatures are obtained from all departments.

5. Assist in managing quality of work being forwarded to client. Share proofreading responsibility with team, maintains client brand, voice and style guidelines and policies. Check all work to ensure adherence.

6. Work with other team members to develop accurate estimates and to efficiently complete assignments within budget. Assist Brand Manager/Sr. Brand Manager/Brand Supervisor with billing as needed.



Minimum Qualifications

  • Bachelor's degree in marketing, business communications, public relations, business administration or equivalent

  • One to two years of advertising agency or equivalent marketing experience where excellent client/customer service has been critical to job function

Skills Required

  • Must possess superior written and verbal communication/presentation skills

  • Demonstrates office administrative and project management skills

  • Must be well organized, able to meet deadlines on multiple tasks and demonstrate tact and diplomacy

  • Must be team player, with positive attitude and a willingness to support account services team as needed

  • Proficiency in MS Word, Excel, PowerPoint, and Keynote
