Assets School is looking for a K-8 Administrative Assistant. This position is a 9-month contract with an additional 1-2 weeks prior to the start of the summer and fall program schedule. This individual will report to and support the K-8 Principal. The hours are Monday through Friday from 7 a.m. - 3:30 p.m.
Essential Functions:
- Provides administrative support to the K-8 Principal and others as directed by the Principal.
- Manage daily attendance and announcement email to staff.
- Distribute daily mail.
- Copy and distribute a variety of communication materials, e.g., health notices, staff updates, school events.
- Receive calls and visitors to the school, answer questions and refer to appropriate staff.
- Provide support for special events such as Professional Development Days, 8th grade recognition ceremony, Kupuna/Grandparents Day.
- Purchase/order faculty lunches for professional development and/or conference days.
- Provide logistical support for school program such as creating testing labels, online registration for parent-teacher conferences, managing lists and schedules.
- Communicate with parents and staff regarding drop off/pick up, meeting requests, after school arrangements.
- Manage and maintain monthly catered lunch lists, database for K-8 program, school calendar, and other logistical needs for the K8 program.
- Manage requests for maintenance from faculty (update spreadsheet).
- Update K-8 Google Drive (lists, schedules, etc.).
- Coordinate Picture Day and Picture Retake Day; work with photographer on logistics.
- Coordinate Parent Conferences (set up conference sign-ups for parents via PTCFast, make follow-up calls, provide conference forms for teachers).
- Help revise, order and/or distribute a variety of marketing, communication and graphic design materials, e.g., banners, flyers, website.
- Help maintain cleanliness and organization of shared areas within the campus, e.g., teacher’s lounge.
- Create bulletin boards and other campus decorations.
Other Responsibilities:
- Perform similar work-related duties.
- Other duties as assigned.
Education, Experience and Skills/Qualities Required:
- Ability to read, write, speak and understand English fluently.
- Strong verbal, organizational, and interpersonal skills.
- Attention to detail/accuracy and timeliness of deadlines.
- Ability to use office equipment, e.g., copier, fax machine, mail machine, etc.
- Technology proficiency especially in Microsoft Word, Excel and Powerpoint.
- Flexible and able to multitask.
- Consistently exercise discretion and judgment.
- Willingness to learn new skills.
- Preference: enjoys creating crafty projects.
