Job Description:

60% - Administrative - Office Management and Chair Support

The office manager takes a leadership role in all matters relating to administration, and to the support of the academic mission of the Chemistry Department. The office manager supports the Chair and Associate Chairs as needed, and responds to daily requests for assistance from faculty, staff and students. The OM oversees the daily operations of the Chemistry Department main office and all administrative initiatives.

The OM is the Scheduling Officer for the Chemistry Department and assists with activities that support the academic mission of the department (including class scheduling, curriculum support, assisting with enrollment issues, directing email as needed, helping faculty), and with non-business needs such as event planning and strategizing. The OM hires and supervises office staff and student hourly workers. The OM communicates with Chemistry Department staff, delegating tasks where necessary. The OM may assist the Chair, as needed, by serving as liaison to the SSC to ensure that departmental needs (supplies, reimbursements, etc.) are met appropriately and in a timely manner. The OM assists the Chair with overseeing the Chemistry Department budget and KUEA accounts, including student scholarships and awards. The OM also serves as liaison for facilities work orders, and plans and manages physical space within the department, and assists with the ordering of, and maintenance of technology and equipment. The OM has a primary responsibility in assisting with, and organizing, faculty and academic appointment data for the Chair related to activities such as Promotion and Tenure, sabbatical requests, and annual reviews. Such activities may involve the creation and maintenance of shared files. The OM takes minutes at the department and/or faculty meetings.

20% - Faculty, Staff & Student Support

The OM liaises with other University of Kansas staff as a point of contact for the Chemistry Department. The OM may assist faculty and staff with the management and tracking of records and outcomes, and data compilation to be used for reports, program and external reviews or curricular initiatives. The OM may also be asked to coordinate campus visits by guests of the department. The OM also assists faculty with administrative forms and paperwork and assists with the management and destruction of records, such as academic misconduct. The OM maintains current departmental policies and assists in assuring the department is in compliance with KU policies and follows academic processes.

20% - Communications and Special Events

The OM supervises communications and all special event coordination for the Chemistry Department and delegates tasks to staff and student hourlies as needed. This includes overseeing the departmental web site and social media, helping to develop and monitor donor relationships and outreach, facilitating special events like faculty retreats and the student honors banquet, and preparing communications for current students, faculty, staff and external parties, like alumni and donors.

Required Qualifications:

  1. Bachelors degree and five years of office/administrative support experience OR a High School diploma/GED equivalency and a minimum of seven years of office/administrative support experience.

  2. 2 years experience with Microsoft Office as demonstrated by application materials.

  3. Strong written communication, interpersonal, and organizational skills, as evident by application materials.

  4. Previous experience working and leading in a team environment.

  5. Previous experience that demonstrated the ability to set goals, distribute tasks, and work as a team towards completing goals on-time as evident by application materials.

Position Overview:

The Chemistry Department Office Manager will report to the Chair of the Department and oversee daily operations in the Chemistry Department. The Office Manager will supervise all office staff in the chemistry office and direct and coordinate their duties. This position is responsible for overseeing course scheduling, academic matters such as misconduct, faculty support and student services. Working with the Chair of the Department, the Office Manager will help maintain daily business operations in the Chemistry Department, work with endowment, approve student hourly, and help approve orders for the teaching labs and office. The Office Manager will coordinate and delegate responsibilities for important events like award ceremonies and faculty retreats; and oversee the communication effort to help publicize important achievements by our faculty, staff, and students.
