The person in the Program Assistant role is an essential member of the ECP team and provides program and admin assistance at the ECP office that directly supports the field of early child care and education professionals across Montana.



Duties and Responsibilities

  • Assist the public on the phone, email and through written correspondence.
  • Perform general office tasks as assigned such as filing, copying, and paperwork intake.
  • Utilize a complex database, called The Practitioner Registry, to provide information to the public and to input data with attention to detail and accuracy.
  • Work with other ECP staff to develop informational marketing materials and communications to promote the program.
  • Participate in statewide meetings with ECP staff as needed.
  • Assist with preparation of ECP sponsored events.
  • Create and distribute the ECP monthly newsletter
  • Manage the ECP website with updated content as needed
  • Customer service and communication (phone, email, and in-person).
  • Paper and electronic records management.
  • Design and creation of marketing materials, newsletters, and other informational items.
  • Utilization of a database to support core functions of the ECP.



Required Qualifications – Experience, Education, Knowledge & Skills

# Knowledge and practical understanding of Information Technology (IT), data system management, demonstrated competence using various computer equipment and software programs.

# Demonstrated success and competence utilizing a data system that provides various user groups and partners with customized functions.

# Demonstrated exceptional customer service and maintaining positive relationships with partners, associates, and collaborators about the use of the data system, maintenance and upgrades, and troubleshooting.



Preferred Qualifications – Experience, Education, Knowledge & Skills

# Bachelor’s degree in early childhood education, data or technology sciences, data system management or related field or; an equivalent combination of education and/or experience.

# Experience with Microsoft products and demonstrated ability to manage Zen Desk Ticketing System and/or project management software.

# Demonstrated knowledge of maintenance and development business practices of the data system.

# Demonstrated understanding and/or interest of early care and education in Montana.

# Demonstrated ability to communicate effectively with various constituents e.g. team members, users, partners, development team about data system maintenance, upgrades and development.

Position Special Requirements/Additional Information

Continuation of employment is contingent upon availability of funding.



Position requires occasional travel by car or plane.



This position requires some in-state and national travel.
