Key Responsibilities:
Litigation & Contract Support
• Provide administrative support related to contract management and litigation preparation.
• Assist in organizing documentation used in expert witness reports, mediation, and potential litigation.
• Maintain organized digital and physical case files.
• Compile supporting materials including inspection reports, photographs, and documentation for case preparation.
• Coordinate documentation requests and case materials with attorneys or external parties when necessary.
Report & Documentation Preparation
• Prepare, format, and organize expert witness reports and technical documentation.
• Assemble case files, exhibits, and supporting materials used in mediation and legal proceedings.
• Ensure documentation is complete, organized, and properly formatted for distribution.
Executive Assistant Support
• Provide administrative support to the CEO and senior experts.
• Manage high-volume calendar scheduling with frequent prioritization changes.
• Coordinate meetings, deadlines, and scheduling related to inspections, case preparation, and executive activities.
• Prepare reports, presentations, and other executive materials.
• Maintain confidentiality when handling sensitive legal and business information.
Qualifications:
Required Qualifications
• Strong organizational skills and exceptional attention to detail
• Ability to prioritize multiple competing deadlines and shifting priorities
• Strong written and verbal communication skills
• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
• Ability to work effectively in a small team environment
Preferred Qualifications
• 3–5 years of administrative, executive assistant, or legal support experience
• Experience supporting litigation preparation, consulting teams, or legal environments
• Experience organizing complex documentation or preparing formal reports
• Experience within the construction defect or construction consulting industry
Minimum acceptable experience: 1–2 years
Work Environment
• Fully onsite position
• Standard work schedule of 8:00 AM – 5:00 PM with some flexibility
• Reports directly to the CEO
• No supervisory responsibilities
Pay: $70,000.00 - $90,000.00 per year
