Responsibilities
• Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette.
• Operate multi-line phone systems to handle incoming calls efficiently and courteously.
• Perform data entry, maintain accurate filing systems, and manage document proofreading to ensure clarity and correctness.
• Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings.
• Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, and collaboration.
• Assist with bookkeeping activities using QuickBooks or similar accounting software to support financial recordkeeping.
• Provide customer support by addressing inquiries promptly, supporting client communication, and maintaining positive relationships.
• Handle clerical duties including filing, photocopying, faxing, and organizing office supplies to keep the workspace organized.
• Support Construction receptionist functions as needed, including appointment scheduling and patient record management.
• Contribute to team efforts by supporting personal assistant tasks and ensuring efficient office operations through excellent organizational skills.
Experience
• Prior experience in an office environment or administrative role is required; familiarity with office management is highly preferred.
• Demonstrated proficiency with computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry tools.
• Experience in customer service roles involving phone etiquette and client interaction is essential; bilingual abilities are a strong plus.
• Knowledge of clerical procedures such as filing systems, proofreading documents, and managing calendars is necessary.
• Previous experience working as a receptionist in medical or dental settings will be considered advantageous.
• Strong organizational skills combined with effective time management are critical for success in this role.
• Familiarity with bookkeeping software like QuickBooks or similar platforms is desirable but not mandatory.
