Successful and growing Private Equity Firm with GORGEOUS offices in Downtown Manhattan is seeking a new Full-Time/Permanent Administrative Assistant to join its team. This is an AMAZING opportunity to join a firm with an excellent reputation and support an executive who is fantastic - a true mentor/trainer/etc.! This person will be providing direct support to the Vice President, Operations & Administration and also act as the Receptionist, which involves facilities management and front door coverage. Candidates must have a minimum of 2-5+ years (this is flexible!) of applicable experience and a Bachelor's degree is strongly preferred/required. He/She should also possess excellent time management, organizational, and interpersonal/communication skills, a positive attitude and proactive mentality, a high degree of professionalism, and the ability to work independently and as part of a team.

Salary depends on experience (70-90k base), plus bonus eligibility, comprehensive medical benefits, and great perks/extras!

Hours are 8:30am-5:30pm. 5 days/week in office.


Responsibilities:

  • Provide direct office administrative support to the Vice President, Operations & Administration
  • Screen and answer phone calls; provide front door coverage
  • Welcome guests and receive delivery personnel
  • Schedule and organize meetings and appointments; manage and maintain busy and ever changing calendar
  • Maintain conference room calendars and track to prevent double booking
  • Responsible for general maintenance of conference rooms to ensure they are in operable conditions throughout the day
  • Handle pre-meeting set up, including arranging catering and securing AV/IT equipment needs
  • Troubleshoot AV and technology issues and escalate unresolved issues to tech support vendors
  • Monitor and manage vendors to address office maintenance and cleaning needs
  • Directly manage stocking of the pantry, supply room, and gym (on premises)
  • Liaise with office vendors (HVAC, floral plants, building management, copiers, cleaning and linen services, etc.)
  • Receive and distribute mail and packages, and coordinate outbound package pick up
  • Prepare and process expense reports
  • Assist with ad hoc projects as needed (i.e. events)


Requirements/Qualifications:

  • Minimum 2-5+ years (flexible) of applicable office administrative experience
  • Bachelor's degree strongly preferred/required
  • A high degree of professionalism, initiative, and independence
  • Excellent time management, organizational, and interpersonal skills
  • Comfortable working independently/autonomously
  • Hands-on problem solver
  • Flexible team player with can-do attitude
  • Excellent written and oral communication skills
  • Strong MS Office Suite skills
