STATUS:
Part-Time, 20 hours per week

DIVISION: Business Services

REPORTS TO: Assistant Director of Business Services

SUPERVISES: N/A

FLSA STATUS: Non-Exempt





POSITION DESCRIPTION



The Accounting Specialist – Accounts Payable is responsible for various accounting and administrative duties in Business Services under the general supervision of the Assistant Director. This position will act primarily as the accounts payable for all vendor, staff, faculty, and student payments and will provide additional support for the Business Services staff. The Accounts Payable Specialist must have excellent interpersonal and communication skills.





POSITION ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS



  • Maintain and monitor policies and procedures related to accounts payable administration and the disbursements of funds for the procurement of goods and services.

  • Review and reconcile vendor statements and invoices. Resolve vendor payment problems, e.g. credit holds, duplicate payments, and outstanding invoices.

  • Contact vendor representatives and college personnel to clarify and resolve monetary discrepancies and general payment problems.

  • Review and verify outstanding invoices to determine status of vendor payments

  • Keep track of credits owed to the College and ensure all credits are properly applied to vendor payments

  • Knowledge of the College’s chart of accounts to ensure the correct general ledger number is being used

  • Maintain copies of vouchers, invoices or correspondence necessary for electronic files

  • Monitor open voucher and purchase order reports to ensure compliance

  • Process payments to all utility companies providing services to the College on a monthly basis and ensure the bills are stored in the electronic files

  • Process, manage, and verify all new vendor information to comply with the rules and regulations of the Internal Revenue Service for production and distribution of 1099s

  • Prepare and review file for issuance of 1099s

  • Reconcile necessary reports monthly

  • Perform related work as assigned




QUALIFICATIONS AND EXPERIENCE



  • Bachelor’s Degree in accounting, business administration or related area preferred; or equivalent combination of education and work experience;

  • Computer literacy; knowledge of Microsoft Excel and Word; familiarity with computerized accounting systems preferred;

  • Excellent communication, interpersonal and problem solving skills;

  • Excellent organizational skills and the ability to handle multiple priorities;

  • Ability to work effectively with a diverse faculty, staff and student population




WORK ENVIRONMENT



This job operates in a professional office and college campus environment. The noise level in the work environment is usually moderate. The employee is occasionally exposed to outside weather conditions.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this Job, the employee is regularly required to maintain a stationary position, use a computer and other office equipment, and communicate effectively in person, by phone, and virtually. Frequent interaction with others, including staff, faculty, students and third parties is required. The employee may occasionally be required to move files or other objects weighing up to 25 pounds, including from low and high places. The ability to move around within the office and between buildings on campus, attend off-site meetings and events, and travel between Ford Campus site to Taubman Center site are required.
