Our client has a need for a Administrative Support. This is a contract position; however it is not uncommon for assignments to transition into permanent positions with our client companies. Administrative Support        

Job Responsibilities                                              

Your specific duties as a Administrative Support will include:         

Role will provide administrative support including calendar management, coordination/optimization of executive travel plans, meeting preparation, phone call triage, voice mails and e-mails, and be a strategic partner to help the N.A. Truck to work as efficiently and effectively as possible.
Manages executive’s calendar/correspondence including screening calls, responding to email, and managing incoming & outgoing mail: Maintain/prioritize and coordinate Outlook calendar/folders.
Keeps executive advised of changes.
Optimizes travel arrangements (transportation, accommodations, agenda) based on executive’s travel needs/preferences. Handles sophisticated itineraries including any changes. Complete related expense reports.
Assists executive with meeting preparation including prepping/acquiring materials in advance, distributing materials, and keeping executive on schedule.
Obtains appropriate support for virtual attendees as well as various media needs and other logistics.
Assists with coordinating and running meetings and events such as staff meetings, all-hands meetings, off-sites, team gatherings, etc. coordinating all calendaring, communication, technology, logistics and related follow-up activities.
Prepares, updates and prioritizes information for inclusion in team strategy rooms, reports, correspondence, presentations, budgets, etc. Edits documents for accuracy, format and arrangement of material.
Participate as adjunct member of executive’s leadership team, including attending select meetings, taking notes, tracking assignments, and following up on assigned action items.
Assists in keeping executive well organized, to include online retrieval and archiving of documents as well as supporting the Company’s records and retention schedule.
Assists with special projects and team data requests as needed.

Job Requirements

As a Administrative Support you must represent our company well by being responsible, punctual and motivated to go above and beyond the call of duty. You must also be highly detail-oriented and organized with excellent analytic and problem-solving abilities. It is also important that you display excellent verbal and written communication and interpersonal skills.

Knowledge of administrative procedures, software applications (such as Microsoft Office Word, Excel, PowerPoint, etc.), records management systems, and other business procedures and terminology Excellent organizational skills, time management skills and attention to detail, to include anticipating needs and being proactive
Excellent writing, editing, and proofreading skills Displays high degree of integrity in order to maintain confidential information, deal with people tactfully, and help establish strong relationships and positive communication Ability to work collegially within a team environment in an open concept office area
3+ years’ experience as an executive assistant supporting senior leader(s)
Associate’s degree (or equivalent)
Bachelor’s degree
