Administrative Assistant Position
This is a part-time hybrid role for an Administrative Assistant with Real Results Inc. and X Factor Coaching LLC. The Administrative Assistant will be responsible for performing various clerical and administrative tasks, including managing communications via phone and email, maintaining records, scheduling appointments, and assisting with executive administrative tasks, client and vendor facing communication, contract processing, managing deadlines, facilitating commission disbursements, handling agent onboarding process, coordinating events, minor marketing creative and internet marketing execution, entering property listings into the real estate database, maintaining broker's calendar, supporting client needs and evaluating processes to improve efficiencies daily.
The role requires excellent organizational skills and the ability to handle multiple tasks.
If you have worked as an Administrative Assistant or as a licensed Real Estate Assistant and you’re looking for a new team, we would love to discuss the possibilities with you. Proficiency with Microsoft Business Suite is a must and a base knowledge of real estate or the new home building industry would be helpful. A real estate license is preferred but not required.
The hours are somewhat flexible, but the role will require regular meetings in person. The ability to work occasional evenings and weekends, remotely... may be necessary. This position will play a significant role in our team’s growth and success. Two years administrative support experience required.
Agent Support
· Document SOP’s
· Onboard New Agents
· Update Company Handbook
· Managing Recruiting Process
· Agent Commission Pay
· Contract Review
· Manage Yard Sign Orders
Managing Broker Support
· Transaction Coordinator – (scheduling, communication, paperwork)
· Liaison with community partners
· Manage Listings on BLC
· Complete Post Closing Processes
· Manage pipeline marketing campaigns
Sales Coaching Support
· Manage website edits
· Manage small scale marketing campaigns
· Document Training Processes and Materials
Qualifications
• Administrative Assistance and Clerical Skills
• Phone Etiquette and Communication skills
• Executive Administrative Assistance experience
• Strong organizational and time management skills
• Proficiency in Microsoft Office Suite and other relevant software
• Ability to work independently and remotely
• Proficient problem-solving skills
• High school diploma or equivalent.
• Associate or bachelor's degree is a plus
