Job Summary
We are seeking a dependable and detail-oriented Accounting Assistant to support the daily operations of our Accounting department. This role will primarily assist with administrative functions related to Accounts Payable, and provide direct support to the Staff Accountant. The ideal candidate is organized, proactive, and eager to grow within the accounting field. No formal accounting experience is required for candidates who demonstrate strong administrative and organizational skills.
Administrative Support
• Open, sort, and distribute incoming mail
• Perform general filing and document organization
• Print and organize vendor invoices for data entry and review
• Assist in maintaining accurate physical and digital records
Accounts Payable & Financial Support
• Entry of vendor invoices into accounting software and support of payment processing
• Help reconcile accounts and verify accuracy of financial records
• Identify and resolve discrepancies in documentation and payments
• Collaborate with internal teams and external vendors to troubleshoot issues in a timely manner
• Ensure compliance with company accounting policies, procedures, and relevant regulations
Data Integrity & Compliance
• Maintain confidentiality of all financial and vendor-related information
• Apply accounting standards and internal policies to ensure consistency and compliance in daily work
• Support month-end closing activities as needed
Team Collaboration & Growth
• Work closely with the Staff Accountant and broader Finance team
• Take initiative to learn and support additional accounting tasks over time
• Contribute to a positive team environment and promote efficiency in accounting workflows
• Take on additional tasks and be trained in new responsibilities as part of professional growth and development
Qualifications
• Previous accounting experience is not required for candidates with strong administrative backgrounds and proven administrative capabilities.
• Prior basic bookkeeping or expense entry experience is a plus
• Strong organizational and time-management skills
• Excellent verbal and written communication abilities
• Ability to work independently with minimal supervision
• Skilled in managing multiple priorities and meeting deadlines with high attention to detail
• Proficiency in Microsoft Excel and comfort with learning accounting systems
• Proven ability to work collaboratively across teams and with external vendors
• Resourceful problem-solver with a desire to grow in the accounting field
Physical Requirements
• Ability to bend, twist, stoop, and stand for extended periods
• Ability to lift up to 20 lbs, with or without reasonable accommodation
