Behavior Services of Brevard is seeking a P/T, year-round School Office Clerk. This position maintains all student records; academic, clinical, and funding, for students in a very small private school. The successful candidate will often be the first contact with parents and funders and must have excellent phone and message-taking skills. The position entails many day-to-day clerical duties of the front office and other duties as assigned by the Office Manager. The candidate must be a self-starter, enjoy order and keeping busy, possess strong organizational and time-management skills, have filing experience and working knowledge of office functions, and be able to demonstrate attention to detail and sound judgment.
Essential Functions:
- Answer phones & greet visitors with a pleasant, professional demeanor.
- Receive preliminary student referral information from parents and others, to relay to the School Director.
- File, maintain, audit and archive student funding, clinical and academic records (electronic and paper.)
- Maintain a simple Student Database in Microsoft Access and QuickBooks.
- Print, receive, organize, and process annual student enrollment packets.
- Maintain parent contact information.
- Act as primary liaison with parents regarding student no-shows, illness, or medication administration.
- Review handwritten forms for accuracy and completeness, and transfer service dates and times to QuickBooks.
- Perform simple addition and subtraction using a pencil and paper.
- Fast, accurate, data entry into an online program.
- Work closely with the Office Manager.
- Work independently
Qualifications/Basic Job Requirements
· This is an experienced-level position requiring the ability to read and write administrative messages, general office correspondence, and read at a comprehension level to appropriately maintain crucial consumer documentation. Must demonstrate a complete understanding of processes and procedures based upon written instructions.
· Must pass HIPPA training and maintain student and staff confidentiality
· College Degree Preferred, High School diploma or equivalent is required. Two to four years of directly related job experience is required, however, education may substitute for some experience.
· Experience with standard office equipment (e.g., copier/fax, etc.) and PC computer experience required.
· Rudimentary experience with QuickBooks Accounting Software (or similar) and Microsoft Access are preferred, and experience in Microsoft Word and Excel are required.
· Conditional employee must be able to pass a level 2 law enforcement background screening. Conditional employee must also be able to pass a five-panel drug screening and pre-employment physical. Proof of a current tetanus vaccination is required.
· Bi-Lingual Candidate preferred
