Job Description Summary


The Privacy Office (“Privacy”), together with Information Security, directs Maximus, Inc.’s (“Maximus” or “Company”) efforts to safeguard the personal information entrusted to the Company by its employees and Clients. Privacy laws around the world increasingly regulate the way that companies collect, store, process, share, protect and retain personal information. These laws are rapidly changing in response to evolving technologies and the related complexity of preserving individual privacy rights in different countries. The responsible use of personal information and management of global privacy risks is foundational to what Maximus does: Moving people, technology, and government forward.


Job Summary



The Role :


The Specialist will report to the Senior Vice President – Privacy, the corporate Privacy Office leader. The Privacy Specialist is responsible for making adjustments or recommended enhancements in systems and processes to solve problems or improve effectiveness of the job area.  This role requires an understanding of other functional areas at the Company.  Problems are typically solved through drawing from prior experiences, with analysis of the issue. Specifically, this role requires:-  Knowledge and understanding of the Company and privacy information practices- Strong understanding of Microsoft Office Suite (i.e., Word, Excel, Visio)- Strong organizational skills and the ability to multi-task, prioritize, and complete day-to-day responsibilities without close supervision- Accuracy in work product- Ability to manage multiple priorities in a fast-paced, deadline-oriented work environment- Create and generate reports for the Privacy Office that are shared with projects, business leaders and senior management- Detail oriented- Ability to work effectively with minimal supervision- Ability to work well with others across all departments and business units- Effective and professional verbal and written communication skills- Take initiative to identify problems and research solutions 


Essential Duties and Responsibilities:- Serve as an initial point of contact between Projects and the Privacy Office when potential or actual privacy incidents are reported.


- Triage the Incident Report by thoroughly reviewing the Report details of potential or actual privacy incidents and determine whether the incident needs to be assigned for immediate review or if it can be held for future review. This requires strong knowledge of Privacy processes and practices and risk threshold for an immediate review.


- Create the Risk Assessment shell that includes the Project Privacy Incident Report.


- Assess (Withdraw) and close out Incidents that do not require a Risk Assessment (i.e., Incidents for which Maximus did not cause or contribute to the Incident, or Incidents for which there is no impermissible use or disclosure of consumer protected health information or consumer personal information). 


- Review privacy incidents and coordinate or lead the incident review process.


- Independently follow up on action items and determine when escalation to a senior team member is needed.


- Work as part of a team to develop and disseminate all required notifications of suspected or actual breach of protected health information or personally identifiable information.


- Create privacy, security, and auditing training and awareness materials.


- Serve as the Incident Tracking System (Smartsheet) primary user. Smartsheet is the official record for Privacy Incidents for the Privacy Office. Responsibilities include:



  • Ensuring that all Privacy Incidents are reviewed and assigned to a team member

  • Ensure that all pertinent information throughout the incident lifecycle is documented in Smartsheet (Breach Management Information, Post-assessment information (sanctions, action items), additional commentary regarding the incident. including action items and additional commentary regarding the incident.

  • Ensuring all data noted in Smartsheet is correct and current.

  • Troubleshooting and serving as the Point of Contact for any technical issues with Smartsheet.

  • Providing feedback and suggestions to enhance and/or Smartsheet (i.e., having additional fields added).



-  Responsible for maintaining and updating the Privacy Office SharePoint site and documents contained on SharePoint


-  Draft Project-specific risk assessment templates and update risk assessment templates as needed.


- Review privacy practices, conduct privacy risk assessments and internal privacy audits, and review results with departmental leadership.


- Maintain and update Privacy policy and process documentation and work instructions.


- Draft Project-specific risk assessment templates and update risk assessment templates as needed.



Inquiry Management:


Review and assign all Inquiries the Privacy Office receives and provide support to the assigned team member through completion.



Data Subject Access Request (DSAR) Management:


- Review all DSARs the Privacy Office receives and determine if they require assignment to a team member.- Complete all DSARs that do not require assignment to a team member.- Provide support for closing all DSARs even if assigned to a team member. 


Minimum Requirements:- Bachelor's degree in related field.


- 3-5 years of relevant professional experience required.

Pay Transparency

Maximus compensation is based on various factors including but not limited to a candidate's education, training, experience, expected quality and quantity of work, required travel (if any), external market and internal value analysis including seniority and merit systems, as well as internal pay alignment. Annual salary is just one component of Maximus's total compensation package. Other rewards may include short- and long-term incentives as well as program-specific awards.
