Travel Operations Sr. Manager for NA will be part of the Global T&E Operations organization. Will manage operational travel services for Coca-Cola associates in NA region by focusing on supporting them with all their travel related issues as well as working with regional & global travel service providers (designated corporate travel management companies) and travelers to identify key program drivers and implement plans to drive increased efficiency, effectiveness, and system savings. Main goal will be to drive regional compliance to key global travel management cost savings processes (including online booking, advance ticket purchasing, lowest logical airfare and the use of preferred suppliers) and overall compliance to Global Travel & Expenses policy, which will be achieved by providing clarity, training and assistance to internal clients and consequently and continuously communicating.

This role will implement, manage and be the custodian of settings of online booking tools and other operational processes across NA. Additionally, it will deliver regional travel stewardship reports to key client groups and provide consulting services to assist them to manage their travel costs. Consequently, it will manage the day-to-day relationship with key regional travel suppliers and monitor key performance metrics, work with Global T&E Director, Regional Travel Sr. Managers in other regions, and Global Procurement to optimize travel supplier agreements and to monitor and enhance traveler safety.

Position Overview / Job Objective:

Manage baseline operational travel services for NA by focusing on four key areas:

a) Compliance: Drive regional compliance in NA to key global travel management cost savings processes including online booking, advance ticket purchasing, lowest logical airfare and the use of preferred suppliers and overall compliance to Global Travel & Expense policy

b) Reporting: Deliver regional travel stewardship reports to key client groups and provide consulting services to assist them to manage their travel costs. Oversee client training and assistance.

c) Travel Suppliers: Manage the day-to-day relationship with key regional travel suppliers and monitor key performance metrics. Work with Global T&E Director and Global Procurement to optimize travel supplier agreements. In partnership with other company business units, work to monitor and enhance traveler safety.

d) Operations Management: Manage Online Booking Tool and other operational processes. Work with regional travel service providers (Designated Corporate Travel Management Companies) and travelers to identify key program drivers and implement plan to drive increased efficiency, effectiveness, and system savings. Support TCCC associates based in NA with all their travel related issues.

Compliance


Monitor, track and report compliance of company policies
Provide information on opportunities for cost savings to Global T&E Director and internal clients
Implement regional processes, routines and metrics to improve traveler compliance and utilization of The Coca-Cola Company Global T&E Program.

Reporting

Deliver regional stewardship reports to key clients group on compliance against T&E Policies
Provide regional stewardship reports to clients to assist in the development of their operating Budget
Responsible for tracking Service Level Agreements of our regional & global Travel Service Providers, addressing performance issues in a proactive manner and using follow-up skills to ensure resolutions are sustained.

Supplier Management

Manage regional performance of vendors against contract standards and performance targets.
Work with suppliers to acquire up-to-date information regarding industry best practices and latest technology to improve internal practices, reduce operational costs and increase operational efficiency.

Program Initiatives

Work collaboratively with Global T&E Director and Global Travel team on strategic approach to Hotel, Air, TMC negotiations and support development of preferred supplier program.
Manage all operational aspects of the travel program in the region ensuring all travel corporate agreements are implemented across the region ensuring that services are provided in a cost-effective and timely manner to meet business needs, and that rates are accurate and accessible.

Issue Resolution

Coordinate with Information Technology/Business Systems (IT/BS) for system access, maintenance and product upgrades
Respond to client service problems and questions by contacting vendors or researching solutions
Troubleshoot day-to-day issues (e.g., online tool issues, missing ticket & visa problems)

GDPR

  • Must be familiar and keep updated with the general principles of GDPR and similar regulations.
  • To liaise with other TCCC departments (e.g., Legal) as to the interpretation and implementation of same, in day-to-day travel operational activities.

CONCUR
  • Have strong knowledge of CONCUR travel and expenses to ensure the system is optimized.
  • A strong emphasis should be placed on the benchmarking of usage (travel) across all locations.
  • Have a full understanding of the intricacies of CONCUR in order to facilitate ongoing training of associates in its use across all markets.

Acquire up-to-date information regarding industry best practices and latest technology to improve internal practices, reduce operational cost and increase operational efficiency

Functional Skills

1) Client Instruction and Support. Knowledge of procedures used and information required to educate and support clients; includes the ability to provide instruction and support for Information Center clients.
2) Vendor Management: The ability to evaluate and ensure that vendor performance meets or exceeds defined performance standards and adheres to overall company policies and procedures.
3) Business Approaches. Ability to use appropriate business and management approaches (e.g., presentations) to communicate the importance of information services to senior management.
4) Resource Knowledge: Knowledge of internal and external tools (i.e., Online Booking Tools, Travel Scorecarding) and resources (i.e., Travel, Meeting Services) available to accomplish tasks and achieve results.
5) Rolling Estimate Projections: Knowledge of information and procedures used to determine rolling estimates. Ability to gather and compare data and develop relevant financial projections.
6) Project Management: The ability to set goals and objectives, plan, problem solve and make decisions to accomplish tasks and assignments.
