The Regional Facilities Manager will be responsible for leading facilities projects (office build outs and expansions), managing operational excellence in the major and satellite offices situated within their respective region (East, Central, West). This role will work closely with local Office Managers, Office Administrators and satellite office contacts to ensure that all Link offices are managed in accordance with Link’s workplace strategies. This would include managing office occupancy, space plans, coordinating major office events, office supply purchasing, and office level branding. The Facilities Manager reports to the Director, Corporate Facilities.   


RESPONSIBILITIES



  • Work with Corporate Facilities team to coordinate office set up for all new, expanded, or contracted regional offices and coordinate office shutdowns for any vacated office locations

  • Organize and execute office supply purchasing for assigned regional offices

  • In coordination with the Corporate Facilities, organize and coordinate furniture deliveries and modifications

  • Ensure that all assigned offices are cleaned, kept, and maintained to Link’s office standards

  • Ensure that all assigned offices include Link’s brand standards

  • Assist with updating seating assignments and staff move planning

  • Assist in the management of maintenance requests through property management or landlord -controlled systems

  • Assist with the management of key cards or other access systems for assigned regional offices

  • Assist in the office budgeting process to account for all property expenses

  • Introduce and support ESG initiatives and ergonomic recommendations

  • Partner with IT on technology equipment and innovation additions at sites

  • Assist with renovations, expansions, and new site projects

  • Hold vendors accountable for high performance in the areas of maintenance, cleaning, security, vending and landscaping

  • Maintain first aid supplies for all assigned offices

  • Assist with large mailings and projects as needed

  • Code and approve all invoices for Office Services

  • Assist with conference room set-ups as needed

  • Ability to manage confidential information appropriately

  • Ability to create and/or edit using advanced features of Microsoft Word and excel

  • Manage multiple task lists, seeing tasks through to completion, often under tight deadlines

  • All other duties as assigned


QUALIFICATIONS



  • BA/BS preferred

  • Strategic thinker with excellent communications skills

  • Must possess strong administration/office skills including business etiquette, and fielding requests (ability to act as a “gate keeper”) with a high degree of integrity

  • Strong project management skills and proactive thinking

  • High degree of proficiency with MS Office suite of products including Outlook, Word, Excel and PowerPoint, particularly with formatting

  • Extensive experience with calendar management, travel planning and expense reports

  • Strong multi-tasking skills and the composure required to display grace under pressure

  • Proven ability to take initiative and plan with a “can do” attitude and the willingness to perform a wide variety of tasks required to meet the daily demands of the business

  • Proven time management and organizational skills and an exceptional ability to pay attention to detail in a fast paced, multi-tasking environment

  • Regional travel flexibility and national travel on occasions

  • High degree of sensitivity around proprietary and confidential information
