SUMMARY Under general direction, is responsible for providing administrative support in the Human Resources department.
ESSENTIAL DUTIES AND RESPONSIBILITIES The duties and responsibilities of the Human Resources Assistant will include, but are not limited to the following: Responsible for the entry and audit of HRIS data to include new hires, terminations, pay changes, title changes, transfers, organizational structure changes, etc. Ensure supporting documents are received with Employee Master Change forms. Helps to ensure compliance with applicable federal, state, and local employment laws. Work collaboratively with HR team as well as other departments within the agency. Maintains the companys HR Position Control database and partners with the programs to ensure the integrity of the information. Assists with maintenance of personnel files. Respond to inquiries regarding agency policies and procedures, PTO accruals, time and attendance, address changes, UltiPro account, etc. Create and maintain employee files. Work with Payroll to ensure employees are paid according to their start dates and are set up correctly for deduction of taxes. Assign user roles in UltiPro for new and existing employees. Act as backup for managing DMV and MHL for applicants, volunteers and interns by entering, retrieving and communicating results. Act as back for processing all Unemployment claims by submitting wages and separation information. Assists with special projects. Other duties as assigned.
QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Ability to read, write, speak and understand English Excellent interpersonal skills are required in order to interact effectively with employees, co-workers, other departments, outside contacts, etc. Due to sensitive nature of the position, must be able to maintain the strictest confidentiality Ability to work independently and handle multiple tasks simultaneously Proficient in MS Office products including Word, Excel and PowerPoint Excellent organizational skills Ability to type correspondence and other documents in a variety of formats at a speed necessary for job performance Knowledge of modern office practices and procedures including business correspondence, record keeping systems and office equipment Excellent oral and written communications skills
EDUCATION and/or EXPERIENCE Associates degree from an accredited college or university preferred High School Diploma or GED required At least two years of related work experience
