The AP & Vendor Support Clerk position adds new vendors to VineBrook’s system and manages existing vendors. This position will also pay vendor invoices according to Company policies and procedures. This position is onsite in the Dayton, OH office.
Essential Duties and Responsibilities
· Managing the process of adding new vendors to the system, including required documentation and approvals
· Identifying and correcting inaccurate or outdated vendor information to maintain data quality
· Accurately inputting & validating new vendor details into the system, verifying information like company name, addresses, bank details, and tax IDs
· Regularly updating vendor information based on changes like contact details, insurance expiration dates
· Understanding of procurement processes and compliance requirements
· Analytical skills to identify data inconsistencies and potential issues
· Reviews all invoices for appropriate documentation and approval prior to payment
· Answers all vendor inquiries via phone and email
· Prepares analysis of accounts, as required
· Distributes signed checks as required
· Acts as liaison between corporate and markets
· Performs filing and copying
· Any other duties as required or assigned by Management
Minimum Qualifications (Knowledge, Skills, and Abilities)
· 1-2 years previous AP or vendor management experience required
· High School diploma or equivalent
· Previous business experience preferred
· Keen attention to detail and data accuracy
· Customer Service skills both for internal and external customers
· Ability to Problem Solve and research issues
· Time Management skills
· Good organizational skills
· Analytical skills to identify data inconsistencies and potential issues
· Proficient in Excel including v-lookup, basic formulas, sorting, filtering
