Director of Health Information Management/Medical Records – Poplar Springs Hospital, Petersburg, Virginia

Poplar Springs Hospital provides comprehensive behavioral healthcare for adolescents, adults, and active duty military and veterans suffering from psychiatric and/or substance abuse issues. Poplar Springs, situated on 25 acres of serene wooded environment in Petersburg, VA, is approximately 30 miles south of Richmond, VA, easily accessed from Interstates 85 and 95. Poplar Springs has 100 acute beds and 108 residential beds on a campus that offers a large outdoor activity space, two full size gymnasiums, an in-ground pool, and an on-site school building. Director of Health Information Management (HIM)/Medical Records

Under the general supervision of the Assistant Administrator, establishes and maintains adequate health information systems in compliance with all applicable laws, standards and policies. These systems include forms control, chart audits, record security, releases of information, transcription and filing. The Manager of Health Information Director supervises the ancillary staff working within the HIM Department.

Essential Job Duties:

  • Plans, organizes, and establishes systems to support all health information activities. Results should produce a safe, secure and easy maintenance system for all staff that utilize records.
  • Performs audits and surveys and develops statistics or other reports to ensure that health information systems are in compliance with established policy and requirements or regulatory agencies.
  • Maintains ongoing health information systems, such as filing, forms control, chart organization, coding, master patient index, chart tracking, communication tools, safety and security of records and systems.
  • Develops standard operating procedures describing day-to-day operations for the HIM Department.
  • Prepares work schedule maintaining adequate staffing of department at all times.
  • Provides clear instruction and workload assignments to department staff resulting in effective, efficient daily operations as observed by supervisor.
  • Meets regularly with department staff to discuss challenges, successes, effectiveness and efficiency of procedures and operations of department.
  • Collaborates with the Quality Improvement Department to ensure that information systems meet the standards of The Joint Commission and with the Risk Management Department in the identification of risks related to documentation.

  • Education: Graduate of an accredited college program with a Bachelor’s Degree in Medical Record Information.
  • Experience: Two (2) years experience in Medical Records/Health Information Management including at least one (1) year in residential and/or acute psychiatric facilities. At least two years’ experience as an HIM Manager or Assistant Director in a Health Information Services Department.
  • License/Certification: RHIA or RHIT with demonstrated management experience. Current valid certification from the American Health Information Management Association.
  • Skills: Ability to pay attention to detail, develop and maintain effective efficient systems. Excellent organization skills. Excellent communication skills, both oral and written. Ability to supervise and manage HIM Team.
  • Physical Requirements: Work of medium demand requiring extensive sitting, standing, bending, lifting and walking. Must be able to lift twenty (20) pounds.
