The Contracts Coordinator invests in the future of Southwest's People in their work assisting with the execution of agreements for maintenance, repair, professional and construction services, and the coordination with various internal Departments. This role works collaboratively with internal and external Teams, including the Contract Manager, to ensure that Southwest's Facilities are supported in a timely manner. Job Summary

  • Assist the Contracts Manager with the execution and administration of Maintenance, Repair, Professional and Construction Services contracts and all related documentation. Assist with coordination of contract management support processes within the Corporate Facilities organization and across departments as appropriate. Help to ensure contract performance measurement criteria and pre and post-implementation is being completed. Assist in the development of the appropriate tools and systems to execute the strategy.

Responsibilities
  • Ensure all contracts are uploaded in Ariba, along with setting up all vendors through SAP and in e-Builder.
  • Work in coordination with the Contracts Manager and other Departments in the development of scope of work, evaluation methodologies, price proposal structure, and some aspects of contract formulation.
  • Provide assistance with contractual standards, templates, and process improvements.
  • Work with General Counsel (in coordination with the Contracts Manager) and Corporate Facilities Employees to review, approve and execute contracts.
  • Ensure that all contracts are executed and performed in accordance with contract requirements, appropriate regulations, and Company policies and procedures in a cost-effective, timely and responsible manner.
  • Assist with the administration of complex, long-term services contracts.
  • Review of the financials for contracts
  • Understand insurance policies and certificate of insurance
  • May perform other job duties as directed by Employee's Leaders

Knowledge, Skills and Abilities
  • Knowledge of business and management principles involved in strategic planning and resource allocation, along with coordination of people and resources
  • Skilled in written and verbal communication
  • Skilled in paying attention to detail, confidentiality, reading documents, problem-solving, reasoning, Customer Contact, multiple concurrent tasks, and some interruptions
  • Ability to organize and prioritize multiple tasks to meet scheduled guidelines
  • Ability to respond to and resolve issues in a timely and efficient manner
Education
  • Required: High School Diploma or GED

Experience
  • Entry level experience in Contract Administration

Licensing/Certification
  • N/A

Physical Abilities
  • Ability to perform work duties from limited space work station/desk/office area for extended periods of time.
  • Ability to communicate and interact with others in the English language to meet the demands of the job.
  • Ability to use a computer and other office productivity tools with sufficient speed and accuracy to meet the demands of the job.

Other Qualifications
  • Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines
  • Must be a U.S. citizen or have authorization to work in the United States as defined by the Immigration Reform Act of 1986
  • Must be at least 18 years of age
  • Must be able to comply with Company attendance standards as described in established guidelines
  • Must be able to occasionally work extended hours and infrequent travel
